Dispatch Board

The visual dispatch board described on this page — technician rows, drag-and-drop scheduling, per-technician assignment, and the En Route / Arrived field-status flow with push notifications — is on the roadmap and not yet available. This page previews where field operations are headed.

What works today: jobs are tracked as projects that move through stages on the project Kanban. The live job stages are Scheduled → In Progress → Completed, alongside Won and On Hold for in-flight work. There is no technician-assignment or time-slot scheduling yet. See Getting Started for how projects move through their stages.

The dispatch board is your command center for scheduling and tracking field work. It gives you a live visual snapshot of every job, every technician, and every time slot — so you can fill gaps, avoid double-booking, and make sure the right person gets to the right job on time.

Open the dispatch board by clicking Field Ops in the left navigation menu, then selecting Dispatch Board.

The board is a grid where:

  • Columns represent dates or time slots.
  • Rows represent individual technicians (or crews).
  • Job cards sit inside the grid cells to show when and who a job is assigned to.

Each job card displays the customer name, job address, estimated duration, and current status at a glance. Color coding (described below) lets you read the board in seconds without clicking into individual jobs.

Day View vs. Week View

Use the toggle in the top-right corner to switch between Day and Week view.

In Day view, the time axis runs vertically and each technician occupies a column. In Week view, dates run across the top and each technician occupies a row.

Start your morning in Day view to review today's schedule, then switch to Week view on Friday afternoon to plan the following week.

The board auto-refreshes every 60 seconds. You will see job status updates from the field without needing to reload the page.

When the Board Has No Technicians

The board is built around technician rows, so a brand-new account opens to an empty board reading No active technicians — "Add technicians in Team Management to start dispatching."

That empty state includes an Add technicians button. Click it and you go straight to Team Management, where an Invite Member button lets you send an invitation to the people who will appear as rows on the board. The board only shows active technicians, and an invitation is not active the moment you send it — the invited person has to open the invite and accept it first. Come back to the board once at least one invited technician has accepted and the grid fills in. This is the fix for an empty board on a new account — you do not need to create any jobs first.

Assigning Jobs to Technicians

There are two ways to assign a job from the dispatch board:

Drag and Drop

  1. Locate the unassigned job in the Unassigned column on the left side of the board.
  2. Click and hold the job card.
  3. Drag it to the cell where you want it scheduled — the correct technician row and time slot.
  4. Release. The assignment saves automatically and the technician receives a push notification on their phone.

Assignment Panel

  1. Click any job card to open its detail panel on the right side of the screen.
  2. In the Assigned To field, choose a technician from the dropdown.
  3. Set the Date and Start Time.
  4. Click Save Assignment.

Use the assignment panel when you want to review full job details before scheduling, or when drag-and-drop is less convenient on a smaller screen.

Job Status Colors and Indicators

Every job card on the board is color-coded by status so you can read the board at a glance.

RedNeeds AttentionJob has a flag — late start, missing customer info, or a technician note requiring review.

In addition to color, each card may show small indicator icons:

  • Clock icon — Job is running late against the scheduled start time.
  • Paperclip icon — Files or photos have been attached to this job.
  • Chat bubble icon — There are unread notes or technician comments.
  • Exclamation icon — The job has been flagged for dispatcher review.

Mobile View

When you open the dispatch board on a phone or tablet, the layout switches automatically to a card stack format optimized for touch.

Instead of a grid, you see a vertical list of job cards grouped by technician. Each card is large enough to tap comfortably and shows the key details — customer name, address, time window, and status — without needing to zoom in.

Touch-Friendly Controls

  • Tap a card to open the full job details.
  • Long-press and drag to reassign a job to a different technician or time slot.
  • Swipe left on a card to reveal quick actions: Flag, Reassign, and Complete.
  • Pull down to manually refresh the board.

Dispatchers working from a tablet in the field often find the card stack view easier than the desktop grid. Try both layouts to see which fits your workflow.

Creating Jobs from the Board

You do not have to create jobs elsewhere and then bring them to the board. You can start a new job directly from the dispatch view.

  1. Click the + New Job button in the top-right corner of the board (or tap it on mobile).
  2. Fill in the required fields:
    • Customer — Search for an existing contact or type a name to create a new one.
    • Job Address — Defaults to the customer's primary address. Override if different.
    • Job Type — Select from your configured job types (e.g., Inspection, Repair, Installation).
    • Estimated Duration — How long the job is expected to take.
  3. Optionally assign a technician and schedule it right away, or leave it in the Unassigned queue.
  4. Click Create Job. The card appears on the board immediately.

Any estimate already linked to this customer can be attached to the job at creation time or later from the job detail panel.

Filtering the Board

Use the Filters bar above the board grid to narrow what you see.

Filter by Technician

Click Technicians and check or uncheck names to show only the rows you care about. This is useful when you manage a large team and want to focus on a subset of technicians for a specific trade or region.

Filter by Date Range

In Week view, use the date picker at the top of the board to jump to any week. In Day view, the left and right arrows step through individual days.

Filter by Job Status

Click Status and select one or more statuses (e.g., show only Scheduled and Needs Attention). Jobs with other statuses are hidden from the board grid but are not deleted or unassigned.

Filter by Job Type

If you run multiple trades or service categories, filter by Job Type to see only roofing jobs, only HVAC calls, etc.

Filters persist until you clear them or reload the page. If the board looks unexpectedly empty, check the active filters and clear any that should not be applied.
