Analytics & Reports

The Analytics section gives you a clear picture of how your business is performing — what you are estimating, what you are winning, and where you are making money. Use these reports to spot trends, identify your most profitable work, and make data-driven decisions about pricing, trade mix, and team capacity.

Everything in Analytics pulls directly from your estimates and accepted jobs in ContractorScope AI. There is nothing to set up; as soon as you start creating estimates, the data starts flowing.

Dashboard Overview

The Analytics dashboard is your starting point. It opens to a summary view covering the current month, with quick-access cards for your most important numbers.

  1. Log in to ContractorScope AI.
  2. Click Analytics in the left sidebar.
  3. The dashboard loads with the current month selected by default.

Summary Cards

At the top of the dashboard, four summary cards show your most important metrics at a glance:

Each card shows the current period value alongside a comparison to the prior period. A green arrow means improvement; red means the metric declined.

Charts Section

Below the summary cards, three charts give you trend visibility:

  • Estimate Volume — Bar chart showing the number of estimates created per week or month.
  • Revenue Trend — Line chart showing accepted estimate value over time.
  • Close Rate Trend — Line chart showing your close rate week over week.

Click any bar or data point to drill into the estimates that make up that number.


Available Metrics

Estimate Volume

Estimate volume tracks how many estimates you are producing over time. Use this to understand your quoting activity and identify slow periods.

Metrics included:

  • Total estimates created
  • Estimates by status (Draft, Sent, Accepted, Declined, Expired)
  • Average time from creation to sending
  • Average time from sending to client response

Close Rates

Close rate is the percentage of sent estimates that are accepted. This is one of the most important numbers in your business — it tells you how well your pricing, presentation, and follow-up are working.

Metrics included:

  • Overall close rate (accepted ÷ sent)
  • Close rate by project type
  • Close rate by trade
  • Close rate by estimate value range (e.g., jobs under $5K vs. over $25K)
  • Close rate by month

A low close rate on a specific project type may mean your pricing is too high for that market — or that you are not the right fit and should focus your marketing elsewhere.

Revenue by Project Type

This report breaks down accepted estimate value by the project types you work on. It shows:

  • Total accepted value per project type (roofing, siding, HVAC, etc.)
  • Number of jobs per type
  • Average job size per type
  • Percentage of total revenue each type represents

Use this to understand which types of work are driving your revenue — and which you might want to grow or reduce.

The Monthly Trends report shows 12 months of rolling data so you can see seasonality patterns and year-over-year changes. Metrics tracked monthly:

  • Estimate count
  • Accepted value
  • Close rate
  • Average job size

Profitability Analysis

The Profitability Analysis report goes beyond revenue to show you where you are actually making money after materials and labor.

Profitability data requires that your estimates include line items with cost and sell prices. If you are only using flat totals, margin data will not be available. See Creating Your First Estimate for cost vs. sell price setup.

Margin by Job Type

This table shows gross margin broken down by project type:

Sort any column by clicking the column header. Click a row to drill into the individual jobs that make up that category.

Margin by Trade

Similar to the job type breakdown, but organized by trade line (e.g., carpentry labor, roofing materials, electrical). This is useful if you subcontract certain trades and want to see which trade mix is most profitable.

Drill-Down View

Click any row in the margin tables to open a drill-down view showing every job in that category. From the drill-down you can:

  • Click any job to open the full estimate
  • Export the drill-down list as a CSV
  • Compare estimates side by side to understand why margins differ

Filtering by Date Range

All Analytics reports support date range filtering. You can analyze any time period from a single day to several years.

Using the Date Filter

  1. Click the Date Range picker at the top right of any Analytics page.
  2. Choose a preset:
    • This Week
    • Last Week
    • This Month
    • Last Month
    • This Quarter
    • Last Quarter
    • This Year
    • Last Year
    • Last 12 Months
  3. Or click Custom Range and pick start and end dates from the calendar.
  4. Click Apply. All charts and tables on the page update immediately.

Comparing Periods

Enable Compare Mode by toggling the Compare switch next to the date picker. A second date range picker appears. Set it to the period you want to compare against.

When Compare Mode is active:

  • Charts show two overlapping lines or grouped bars
  • Summary cards show both period values and a percentage change
  • Tables include a comparison column

A useful comparison: set the primary range to this quarter and the comparison range to the same quarter last year. This strips out seasonality and shows true year-over-year growth.


Exporting Reports

Every report in Analytics can be exported for use in spreadsheets, presentations, or accounting software.

How to Export

  1. Navigate to the report you want to export.
  2. Apply any date filters.
  3. Click Export at the top right of the report.
  4. Choose your format.
  5. The file downloads to your device immediately.

Large exports (more than 12 months of data or more than 1,000 jobs) may take up to 30 seconds to generate. A progress indicator appears while the file is being prepared.

Scheduled Reports

On the Professional and Business plans, you can set up scheduled reports that are emailed to you automatically:

  1. Click ExportSchedule Report.
  2. Choose a frequency: Daily, Weekly, or Monthly.
  3. Enter one or more email addresses.
  4. Click Save Schedule.

Scheduled reports run at 6:00 AM in your local time zone.
